Setting up your clinic on Naab: a first-day checklist

Moving a clinic onto new software feels bigger than it is. Most of the work is a handful of decisions you already know the answers to: what kind of clinic you run, who works there, what you charge, and when you are open.

This checklist walks through the first day on Naab in the order that makes sense. It is quick, and none of it has to happen in one sitting. Do a step, see a patient, come back for the next one.

1. Create your account and your workspace

Sign up with your Google account or with an email address. If you use email, you may be asked to confirm it with a short code.

Next, create your workspace: the clinic itself. You give it a name and a phone number, and you choose its type:

  • Dental clinic, with the teeth chart, periodontal exams, and lab orders.
  • General or medical clinic, with a body chart and test requests instead of teeth.
  • Dental lab, with orders, a production board, and doctors as your customers.

The type shapes the menus, the wording, and the catalogs you start with, so pick the one that matches your work. One account can belong to more than one workspace, so an owner with a clinic and a lab can switch between them later.

You also choose the catalog language. This decides whether the lists Naab prepares for you, such as treatments and medicines, start in Arabic or in English. Each person can still use the app itself in Arabic or English, whichever they prefer.

2. Decide whether to start a trial

You can start on the Free plan and stay there as long as you like, with patients, charts, invoices, and payments included. Or you can claim a free trial of the full Enterprise plan, with no card needed. It is optional, and it is a good way to try everything, including the WhatsApp inbox, reminders, and stock, before deciding what you actually need.

Whichever you choose, you can compare what each plan includes on the pricing page.

3. Invite your team and connect WhatsApp

Invite each person by email with their role already set. Naab comes with roles that match how clinics work: owner, admin, manager, dentist, receptionist, accountant, assistant, and auditor. A receptionist sees the calendar, patients, messages, and payments at the desk. An assistant sees the clinical record but not the money. An accountant sees invoices and expenses but not the chart. If none of them fit, you can build your own role.

A note on plans: on Free, the owner is the only user. Paid plans have no limit on staff, and the number of dentists depends on the plan.

Then connect the clinic's WhatsApp number. You enter the phone number and the 6-digit code you receive, and that is it. The shared WhatsApp inbox, where the whole team sees the same conversations, is on Starter and above, and so are WhatsApp reminders.

4. Adjust your treatments, hours, and visit types

Your treatment catalog is already filled in when you arrive, so you don't start from a blank page. Go through it once and change what is yours to decide:

  • Prices, in ₪, as you actually charge them.
  • Colors, so each treatment is easy to spot on the chart.
  • Anything you don't offer, which you can switch off so it doesn't clutter the list.

Then set your working hours on the calendar and add your visit types, such as a checkup, a cleaning, or a follow-up. These are the options reception will pick from every time they book, so it is worth a few calm minutes now.

5. Add your patients

Add patients with the basics: name, phone number, and anything you already know, such as allergies, insurance, or family. You don't have to enter every past patient on day one. Many clinics start with the people booked this week and add others as they come in.

It also helps to know that your data stays yours. Patient data export is free on every plan, so you can take your records out whenever you need them.

6. Run your first visit, from calendar to payment

The last step is the one that tells you everything is in place:

  1. Click an empty slot on the calendar and book a visit for a patient with a dentist.
  2. When the patient arrives, mark them as arrived.
  3. Open their chart, place the treatment on the tooth (or on the body chart, in a medical clinic), and save the treatment plan.
  4. Create the invoice from the plan and record the payment.

If those four steps work, your clinic is running on Naab. Everything else, from reminders to stock, can be added one piece at a time. To see how the chart and the plan fit together, read about clinical features.
